Privacy

This policy explains what information is processed, why it is used, and how data separation protects organisations.

Applies to All platform users

Information We Process

ED Library processes account details, organisation details, contact information, learning activity, course enrolments, exam activity, student records, certificate information, library access, payment references, support messages, uploaded files, and technical information needed to operate and secure the platform.

Why We Use Information

Information is used to create accounts, verify access, manage organisation domains, deliver courses and books, record progress, process assessments, issue records and certificates, manage subscriptions and payments, send service alerts, prevent misuse, improve reliability, and comply with legal or financial obligations.

Organisation Separation

Accounts, courses, books, school fees, student records, certificates, payment summaries, and administrative actions are separated by organisation and approved domain. Authorised organisation staff can only manage information for their own organisation. Platform admins may access information only where required for platform operations, support, security, billing, or legal compliance.

Student and Learner Records

Student or learner information may include personal details, class or programme details, parent or guardian contact information, enrolment history, progress, results, certificates, and payment status. Organisations are responsible for ensuring that student or learner information uploaded to ED Library is accurate and shared with the appropriate consent or authority, and in compliance with applicable regional data regulatory requirements.

Payments and Provider Data

ED Library stores payment references, status, summaries, provider names, plan information, invoices, settlement metadata, and related audit information. Raw card details are collected and processed only by the selected third-party payment provider, not by ED Library.

Security Controls

ED Library is designed with a layered security architecture to protect organisation data, learning content, learner records, payments, and user accounts. The platform uses organisation-domain checks, invite codes, approval workflows, role permissions, hosted payment checkout, form protection, activity records, and other security controls to reduce unauthorised access and abuse.

Uploaded files and private media are protected by server-side access checks. Course files, videos, learner records, certificates, and book downloads are not treated as public files.

Payment security is handled through trusted payment providers such as Stripe, Paystack, and PayPal. ED Library does not store raw card details. Payment cards are processed by the payment provider, while ED Library stores only the transaction references, payment status, and settlement summaries needed for records and reconciliation.

The platform also includes additional protections such as security headers, content security policy controls, audit logs, malware scanning support for uploads, encrypted backups, field-level encryption for sensitive records, session management, and alerts for selected security events. No online system can be guaranteed completely risk-free, so users must keep passwords and account access secure.

Emails and Notifications

ED Library may send account, approval, password, subscription, payment, trial reminder, course, exam, and support notifications. Some messages are essential for platform operation and may continue while an account or subscription remains active.

Third-Party Services

The platform may connect with payment providers, email providers, hosting services, analytics or security tools, cloud storage, video services, and other approved service providers. These providers process information only as needed to deliver their services and may be subject to their own privacy and security terms.

Retention, Correction, and Deletion

Information is retained for as long as needed for education records, certificates, subscriptions, payments, audits, dispute resolution, legal compliance, and platform security. Organisations and users may request correction, export, restriction, or deletion where permitted by applicable law and record-keeping duties.
